Terms and Conditions, Payment and Collection
All equipment is hired subject to the Vale of Clwyd District Scouts equipment hire terms and the Scout Association Policy, Organisation and Rules (POR).
Permits and Supervision
All hirers must provide their own appropriately qualified permit holder for the activity being undertaken. Proof of a permit holder must be provided prior to hire. Vale of Clwyd District has a small number of permit holders and, where possible, can put groups in contact with them, however this cannot be guaranteed. Responsibility for ensuring the activity is run safely and in line with POR rests with the hirer. Activity Risk Assessments are provided but it is the responsibility of the hirer to produce location specific risk assessments and to ensure that it is run in line with the risk assessment and POR.
Payment
Payment must be made in full prior to collection, unless otherwise agreed in advance by the District. Bookings are not confirmed until payment has been received. Any additional charges for loss, damage or missing items will be invoiced after the equipment has been checked on return. Payment is only accepted via BACS.

Late returns may incur additional charges. Any damaged or missing equipment must be checked upon collection and reported before use. Any damage or loss incurred during the activity must also be reported.
Care of Equipment
The hirer is responsible for the safe use, storage and transport of all equipment for the duration of the hire. Any loss, damage, or excessive wear beyond reasonable use may be charged at repair or replacement cost.

In some circumstances, the District may be able to suggest or offer a suitable location for activities. This is not guaranteed and remains subject to availability, permissions and local arrangements.
